This Privacy Policy explains how IBNIC — the International Board of NLP and Integrative Coaching — collects, uses, stores, and protects personal data. IBNIC is committed to handling personal data responsibly and in full compliance with the General Data Protection Regulation (GDPR) and all applicable data protection legislation.

This policy applies to all visitors to ibnic.org and to all individuals who interact with IBNIC’s services, including accreditation applicants, credential registrants, and enquiry submitters.

What Data We Collect and Why

Website Analytics

IBNIC uses Google Analytics to understand how visitors use ibnic.org. Google Analytics collects anonymized data including pages visited, time spent on the site, device type, and approximate geographic location. No personally identifiable information is collected through Google Analytics.

Lawful basis: Legitimate interests — understanding website usage to improve the service IBNIC provides

You may opt out of Google Analytics tracking at any time by using the Google Analytics Opt-out Browser Add-on, available at tools.google.com/dlpage/gaoptout.

Contact Form

When you submit an enquiry through the contact form on ibnic.org, IBNIC collects your name, email address, and the content of your message. This information is used solely to respond to your enquiry. IBNIC uses Fluent Forms to process form submissions.

Lawful basis: Legitimate interests — responding to enquiries submitted by individuals who have chosen to contact IBNIC.

Retention: Enquiry data is retained for 24 months from the date of submission, after which it is permanently deleted.

Credential Registration

Practitioners who have been certified through an IBNIC-accredited school may voluntarily register their credential at ibnic.org/register-accreditation/. Registration requires submission of a name, email address, and IBNIC Credential Number through a Fluent Forms form.

Registration is entirely voluntary. A practitioner’s credential is valid and verifiable regardless of whether they choose to register personal details. Personal data submitted through the registration form is stored in IBNIC’s Airtable database and used solely for the purpose of maintaining the credential register.

Lawful basis: Consent — registration is a voluntary act. Practitioners may withdraw consent and request deletion of their personal data at any time by contacting info@ibnic.org.

Retention: Credential registration data is retained for the duration of the credential’s active period (three years from issue date) plus one year. After this period, personal data is deleted and the credential record is anonymized.

Accreditation Applications

Schools and trainers applying for IBNIC accreditation submit personal and organizational data as part of the application process. This data includes contact details, professional credentials, and supporting documentation. It is used solely for the purpose of evaluating and administering the accreditation application.

Lawful basis: Contract — processing is necessary to carry out the accreditation review process that the applicant has requested.

Retention: Application data is retained for the duration of the accreditation relationship plus five years following the end of that relationship, in accordance with IBNIC’s audit and complaints obligations.

Third-Party Data Processors

IBNIC uses the following third-party services to process data on its behalf. All third-party processors are bound by data processing agreements and are required to handle personal data in accordance with GDPR.

Google Analytics — website analytics. Data is processed in accordance with Google’s privacy policy. Google LLC is certified under the EU-US Data Privacy Framework.

Fluent Forms — form processing. Forms are hosted on ibnic.org and data is processed through Fluent Forms Pro. No data is stored externally by Fluent Forms beyond what is passed to the destination system.

Airtable — credential and accreditation database. Personal data submitted through the credential registration form is stored in Airtable. Airtable Inc. is certified under the EU-US Data Privacy Framework.

Albato — automation platform used to process form submissions and update the Airtable database. Albato processes data in transit only and does not retain personal data.

WP Engine / Hostinger — website hosting. Server and access logs may contain IP addresses in line with standard server operation. These logs are retained for 30 days and used solely for security and technical purposes.

Essential cookies — required for the website to function correctly. These cannot be disabled.

Analytics cookies — Google Analytics cookies used to understand website usage. These are only set if you have consented to analytics cookies.

You may manage cookie preferences at any time through your browser settings. Disabling analytics cookies does not affect your ability to use ibnic.org.

Your Rights Under GDPR

If you are located in the European Economic Area or the United Kingdom, you have the following rights in relation to your personal data:

The right to access — you may request a copy of the personal data IBNIC holds about you.

The right to rectification — you may request correction of any inaccurate personal data IBNIC holds about you.

The right to erasure — you may request deletion of your personal data where there is no overriding legal reason for IBNIC to retain it.

The right to restriction — you may request that IBNIC restricts processing of your personal data in certain circumstances.

The right to data portability — where processing is based on consent or contract, you may request a copy of your personal data in a structured, machine-readable format.

The right to object — you may object to processing based on legitimate interests. IBNIC will cease processing unless it can demonstrate compelling legitimate grounds that override your interests.

The right to withdraw consent — where processing is based on consent, you may withdraw that consent at any time without affecting the lawfulness of processing carried out before withdrawal.

To exercise any of these rights, contact IBNIC at info@ibnic.org. IBNIC will respond within 30 days. In complex cases, this period may be extended by a further two months — IBNIC will notify you if an extension is required.

If you are dissatisfied with IBNIC’s response, you have the right to lodge a complaint with your national data protection supervisory authority.

International Data Transfers

IBNIC is registered in the United States. Some of the third-party processors listed above are also based in or transfer data to the United States. Where personal data is transferred outside the European Economic Area, IBNIC ensures that appropriate safeguards are in place, including reliance on the EU-US Data Privacy Framework where applicable.

Data Security

IBNIC takes appropriate technical and organizational measures to protect personal data against unauthorized access, loss, destruction, or alteration. These measures include SSL encryption on ibnic.org, access controls on the Airtable database, and restricted access to personal data on a need-to-know basis.

Changes to This Policy

IBNIC may update this Privacy Policy from time to time. The date at the top of this page reflects the date of the most recent update. Material changes will be noted in IBNIC’s communications where appropriate.
